1. About Venture Genie

Venture Genie (“we,” “us,” or “our”) operates an AI-powered booking and communication platform at venture-genie.com and on white-label customer websites (collectively, the “Platform”). This Privacy Policy explains how we collect, use, share, and protect information about visitors and customers who interact with the Platform.

By using the Platform you agree to this Privacy Policy. If you do not agree, please do not use the Platform.

2. Information We Collect

2.1 Information you provide directly

  • Contact information: name, email address, phone number
  • Booking details: service requested, preferred date/time, service address, special notes
  • Identity verification: one-time passcodes (OTPs) sent to your phone or email to confirm your identity before a booking is created
  • Communications: messages you send via our AI chat interface and information you share during live voice conversations

2.2 Information collected automatically

  • Usage data: pages visited, features used, timestamps
  • Device data: browser type, operating system, IP address
  • Cookies: session cookies and analytics cookies (see Section 8)

2.3 Information from third parties

  • Payment processors: billing status (we do not store full card numbers)
  • Google Maps / geocoding: address verification data

2.4 Voice conversation records

When you use live voice features, we process audio in real time to transcribe your request and generate a response. By default, we do not store raw call audio. We may store the transcript and structured call metadata needed for booking operations, follow-up, support, quality review, abuse prevention, and legal compliance.

Stored call metadata may include timestamps, transcript, booking outcome, services discussed, verified contact details, and contact details captured before verification that remain marked as unverified.

3. How We Use Your Information

We use your information to:

  • Create and manage your bookings
  • Verify your identity via OTP before a booking is confirmed
  • Send booking confirmations, reminders, and updates
  • Send promotional messages (only with your explicit consent)
  • Provide customer support
  • Generate summaries, call outcomes, and follow-up suggestions for business operators
  • Improve and secure the Platform
  • Comply with legal obligations

4. SMS / Text Message Communications

If you provide a mobile phone number and consent to SMS communications (by submitting the opt-in form at venture-genie.com/sms-opt-in or by proceeding through the booking chat after a consent disclosure is shown), you agree to receive text messages from Venture Genie and/or the business you are interacting with, including:

  • Account verification codes (OTPs)
  • Booking confirmations and reminders
  • Appointment updates (cancellations, rescheduling)
  • Occasional promotional messages

Message frequency varies. Message and data rates may apply.

To opt out: Reply STOP to any SMS you receive from us. You will receive a single confirmation message and no further messages will be sent. To re-subscribe, reply START.

No mobile information will be shared with third parties for marketing or promotional purposes. All categories of SMS opt-in data will not be shared with any third parties.

We use Twilio as our SMS messaging provider. Twilio’s privacy policy is available at twilio.com/legal/privacy.

5. Email Communications

If you provide an email address, we may send you booking confirmations, reminders, and operational messages. You may opt out of marketing emails at any time by clicking the unsubscribe link in any email or by contacting us directly. Transactional emails (booking confirmations, OTPs) cannot be disabled as they are necessary for the service.

6. How We Share Your Information

We do not sell your personal information. We share it only as follows:

  • Business operators: The business whose website you booked through receives your booking details and contact information to fulfill the appointment. Authorized staff of the business you contacted may view call logs, transcripts, summaries, and follow-up suggestions that relate to their tenant so they can fulfill bookings, respond to unresolved requests, and support customers.
  • Service providers: We use third-party services including Twilio (SMS), Resend (email), Supabase (authentication and database), Stripe (billing), and AI/voice infrastructure providers that help us process live conversations. These providers process data only as instructed by us and under confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, subpoena, or to protect our rights.

7. Data Retention

We retain your information for as long as needed to provide the service and comply with our legal obligations. Booking records are retained for a minimum of 3 years for business and tax purposes. OTP records are deleted within 24 hours of expiry.

Live voice transcripts and related call metadata are retained only as long as needed for booking operations, support, follow-up, security, dispute handling, and compliance. We may shorten or extend retention based on legal obligations, active disputes, or abuse-prevention needs.

You may request deletion of your personal data at any time (see Section 9). Note that we may be required to retain certain records for legal compliance.

If you request deletion, we will remove your data from active systems subject to legal and operational exceptions. Archived backups may retain the data until those backups are overwritten or expire under our backup retention schedule. If a backup is restored, we will re-apply recorded deletions to the restored environment where required.

8. Cookies

We use cookies to keep you signed in, remember your preferences, and measure platform usage. You can disable cookies in your browser settings, but some features may not work correctly.

9. Your Rights

Depending on your location, you may have the right to:

  • Access a copy of the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information (“right to be forgotten”)
  • Object to or restrict certain processing
  • Data portability (receive your data in a structured format)
  • Withdraw consent at any time (including SMS opt-out via STOP)

Please include enough information for us to locate your records, such as your phone number, email address, approximate interaction time, and the business you contacted. We may request additional information to verify your identity before processing a privacy request.

California residents (CCPA): You have the right to know what personal information we collect and disclose, to delete your personal information, and to opt out of the sale of personal information (we do not sell personal information).

Canadian residents (PIPEDA): You have the right to access your personal information and challenge its accuracy.

10. Children's Privacy

The Platform is not directed to children under 13. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

11. Security

We implement industry-standard security measures including encrypted connections (TLS), hashed credentials, and access controls. However, no transmission over the internet is 100% secure.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised “Last updated” date. Your continued use of the Platform constitutes acceptance of the updated policy.
